Full-Time, 40 Hours/Week

Monday to Friday, 7am - 4pm

Hybrid (2-3 Days/Week)


Summary:

The Grants and Sponsored Programs Manager coordinates and monitors the pre-award planning, proposal, and post-award grant activities in collaboration with Principal Investigators, and Research Grants Accounting. Activities include but are not limited to application submissions, budget development, budget monitoring and adjustments, time and effort coordination and monitoring, subaward agreements, invoicing, and coordinating activities with sponsors.

Responsibilities:

1. Partner with Investigators and staff across all units of the organization to develop and submit grant proposals to external funding agencies.

2. Assess the effectiveness of research administration processes including benchmarking, tracking progress toward goals, and measuring outcomes.

  1. Prepares and compiles award documents and electronic records. Manages multiple grant budgets and provides support to Principal Investigators for all aspects of grant fund management.
  2. Coordinates requests for consulting agreements, subawards and other contracts.
  3. Monitors spending and tracks grant expenses. Maintains and provides current award balances and assists when requested on projecting spending trends to ensure Principal Investigators have necessary information to make informed spending decisions.
  4. Provides guidance on budget and financial policies to ensure adherence to institutional policies and standards and assist with the organization and preparation of all components of grant applications.
  5. Responsible for coordination of post-award activities in collaboration with Accounting and assures compliance with institutional and federal policies.
  6. Provides on-going financial oversight of grants and contracts including but not limited to: tracking of funds, sub-awards, evaluating expenditures, preparation and submission of progress and final reports.
  7. Manages effort tracking and resource allocation to ensure compliance with time and effort policies.
  8. Prepares regular and special internal reports for Principal Investigators and grant project leads. Assists in preparing and ensures timely submission of external reports for sponsored projects per required sponsor rules and regulations. Reviews sub-recipient reporting and invoicing for accuracy.
  9. Additional responsibilities as assigned.

Other information:

Technical Expertise

1. Two years or more experience with pre- and post-award processes, including budget development and interpreting complex information and requirements in notices of funding opportunities.

2. Experience working directly with staff and faculty stakeholders.

3. Management, supervisory, or leadership experience.

4. In-depth knowledge of federal agencies.

5. Working knowledge of 2 CFR 200: Uniform Administrative Requirements for Federal Awards ("Uniform Guidance")

6. Excellent organizational skills and the ability to prioritize tasks and meet deadlines while coordinating multiple projects.

7. Strong oral and written communication skills

8. Experience working with all levels within an organization is preferred.

9. Proficiency in MS Office [Outlook, Excel, Word] is required.

Education and Experience:

1. Education: bachelor’s degree in accounting or business required. Master’s degree preferred.

2. Years of experience: Minimum of two (2) years grants or financial management in a not-for-profit or academic setting required.

3. Years of experience supervising: Minimum of one (1) year required.

4. Experience with research grant management, budgeting and accounting required.

5. Ability to function effectively as a team member and independently.

1. Ability to handle sensitive information and to communicate with staff and investigators effectively.

6. Excellent interpersonal, communication (verbal and written), problem solving and accounting skills are required.

7. Demonstrated ability to simultaneously coordinate and report administrative and financial aspects of research grants and contracts in varying levels of development, execution, and completion.
